The YWCA of Richmond, a dynamic, medium-sized non-profit is seeking to add a motivated individual to join its management team to lead all operational and administrative aspects of the organization.  Reporting to the Executive Director, s/he will be responsible for managing finance and accounting and other operations functions of the organization.  S/he will also assist the Executive Director in planning, organizing and implementing public and private fund-raising initiatives.    

 

Essential Duties and Responsibilities

 

Financial Management and Accounting

  • Lead the development of the annual budget and operating plan that fully supports the organizations strategic and financial goals, service model and core values.  Present plan to the Board of Directors.

  • Manage the financial systems of the organization, developing and maintaining financial management policies, procedures and standards ensuring compliance by all staff, including but not limited to, accounting processes and procedures, internal controls and record retention.

  • Oversee the maintenance of accounting records of the organization including payroll processing, benefits and related tax reports, accounts payable, accounts and grants receivable, shared cost and indirect cost allocations, revenue restrictions, cash receipts and fixed assets.

  • Manage the banking relationships for the organization including operational cash accounts, short term investments and the organization’s endowment.

  • Responsible for the review of all bank statements, preparation of bank reconciliations and general ledger reconciliations resolving any discrepancies.  Reviews and approves expense reimbursements. 

  • Prepare monthly journal entries, including supporting documentation and appropriate descriptions.

  • Review and reconcile all significant general ledger accounts, researching variances, preparing supporting schedules and communicating any identified issues to the Executive Director

  • Analyze financial data, interpreting financial transactions, forecasts, cash projections, trends and results for discussion and review by the Executive Director and Board Treasurer.

  • Prepare monthly financial statements with narrative description of budget variances for review by the Executive Director and Board Finance Committee.

  • Assist Executive Director and Board of Directors in developing processes for financial improvements to the organization.

  • Manage and coordinate the annual audit process with the external audit firm.  Review audit reports and proposed adjusting entries with auditors, agree report to internal financials and ensure adjusting entries are posted.  Distribute and present audit report to the Board Finance Committee and Board of Directors.

  • Attend and actively participate in various meetings including monthly Board Finance Committee meetings, Board meetings, administrative team meetings, annual financial review meetings and others.

     

Strategic Planning and Performance Management

  • Lead or participate in the development of the annual strategic plan.

  • Develop, establish and direct execution of operating policies to support overall organization objectives.

 

 

HR and Administration

  • Manage HR administration processes including employee benefits, recruiting and policies

  • Manage facilities infrastructure including office environment and administrative staff

  • Advise on other management and operational matters including IT and facilities

  • Partner with the Executive Director with external constituency groups, including community, governmental and private organizations.

 

 

Qualifications

 

Education

  • Four year degree (accounting, or finance preferred)
  • CPA or CPA candidate preferred but not required

Experience

  • Five plus years experience in non-profit accounting field preferred.
  • Experience in supervision and managing a diverse team.
  • Extensive experience with general ledgers.
  • Previous experience in grant accounting, payroll and coding.

 

Skills/Requirements

  • Energetic with a strong display of leadership and problem solving skills.
  • Strong relationship builder and communicator with ability to promote and communicate organization’s philosophy, mission and values to external and internal stakeholders, including staff and Board of Directors.
  • Ability to supervise and lead a team towards accurate, timely completion of projects.
  • Detail-oriented  with strong organizational skills and ability to handle multiple priorities.
  • Effective oral and written communication skills.
  • Successful completion of criminal background and credit checks.
